To approve Variation No. 002 to extend the
contract term from December 2025 to April 2026 and allow
utilisation of remaining consultancy days (4.8 days) plus an
additional 4.76 days under a new purchase order. This variation
includes an additional cost of £4,047, increasing the total
contract value from £176,800 to £180,847.

Reasons for the decision

The extension is required to complete
outstanding Year End reporting consolidation and cleanup, and
provide general reporting assistance to guide Business Improvement,
which could not be completed by 31 December 2025.

Alternative options considered

Do not extend the contract: Rejected as this
would leave critical Year End reporting incomplete, impacting
business operations.
Seek alternative consultancy support: Rejected due to continuity
and efficiency considerations; existing supplier is already engaged
and familiar with the project.
