Purpose

The current version of software provided under
this contract by Document Output Solutions UK Ltd will be
de-supported by the supplier in December 2026 meaning that from
then until the contract ends the supplier would not provide
assistance with fault fixing or other support and
maintenance.
The supplier does provide support for the same software but as
Software as a Service (SaaS), i.e., via a browser-based solution,
rather than onsite installation. This means that the council is
required to move to this new support model before the current
version of the software becomes end of life and de-supported.

Content

Variation of the existing contract which was
awarded to Bytes Software Services Ltd for a period of six (6)
years four (4) months with effect from 01 March 2021, to move to a
supported version of the software and ensure continued support and
maintenance from the supplier.

Alternative options considered

Option 1 - The option to continue on a
de-supported version of software was considered but rejected due to
the increased risk of not being able to comply with legislation
regarding local taxation, housing benefit and council tax
reduction.
