Purpose

To award a contract extension of Design and Print Services as per the current contract.

Decision

  1. That the extension of the contract for the provision of Design & Print Services for a period of 12 months commencing on 1/6/2026 with the incumbent provider in accordance with the agreed terms, be approved.
  2. That authority be delegated to the Executive Director of Strategy and Change to approve a further 12-month extension (in addition to the above) as provided for in the contract, subject to satisfactory performance.

Reasons for the decision

Taking up the contract extension option is consistent with the original contract terms, represents best value at this time, supports transformation objectives, and avoids the risks and costs associated with immediate re?procurement. The proposed approach ensures service continuity while allowing the Council to plan for future arrangements in a complex and changing organisational context.

Alternative options considered

1. To allow the current contract to lapse. This would mean the Council would be without a dedicated print and design supplier.

2. Undertake a full procurement exercise for a replacement provider. This is cost and resource intense and would result in a period without a supplier, so would risk continuity of service.
