Purpose

To appoint Ricoh Print
Services to provide the Council’s fleet printers and
photocopiers, through the CCS RM6174 Framework - Multifunctional
Devices (MFDs), Print and Digital Workflow Software Services and
Managed Print Service Provision - Lot 2, for the period 1 September 2024 to 31
August 2029

Appoint Ricoh Print Services to
provide the Council’s fleet printers and photocopiers,
through the CCS RM6174 Framework -
Multifunctional Devices (MFDs), Print and Digital Workflow Software
Services and Managed Print Service Provision - Lot 2, for the
period 1 September 2024 to 31 August 2029.

Reasons for the decision

To put in place
appropriate printer fleet arrangements across the Council’s
operational buildings, alongside those of South Essex Homes and
Southend Care Limited, for the period 1 September 2024 to 31 August
2029.
 
A decision is required
as a matter of urgency to ensure that the Council maintains service
continuity from the existing contracting arrangements.

 

Alternative options considered

 
The Council considered other
procurement route options including collaborating with other
organisations but this was discounted as
it would reduce competition and limit opportunities for local
supplier engagement.
 
Various framework options were
explored including frameworks that were able to offer either a
combination of or individual elements of the following: MFDs; Print
services; Post/Mail Services; Office Supplies. Some of these
frameworks were eliminated as they did not provide the solution
that the Council required.
