Full council record
Purpose

The contract with our current
Facilities Management provider, Robertsons ends on 30 April
2026.  Robertsons currently have a licence for SFG20
which they own.  In order to maintain workstreams, it is
critical that the Council procure a licence for this
software.

Content

DETERMINED:

1.
£0.008m be
allocated for the capital purchase of SFG20 software

2.
£0.019m per
annum be allocated from the Facilities Management budget to cover
the costs of the software licence and support fees

3.
That the Council
enters into a 3-year contract with SFG20 for the provision of
maintenance scheduling software.

4.
That the software
be procured via STaR Procurement using the G-Cloud 14
Framework.

Reasons for the decision

The procurement is required to
maintain continuity of FM services following the expiry of the
current contract with Robertsons FM on 30 April
2026.

Alternative options considered

As this is a mission critical system, there is
not an alternative option as services are to be brought back
‘in house’ with effect from 01 May 2026.
