Decision

To approve the additional fee of £4,500 for the roof repairs to the roof ridge damages at Sunspot with CAMCLAD CONTRACTORS Ltd. for the Ten_04 Sunspot Solar Panels project, which is being delivered as part of the Community Regeneration Partnership funding programme, to upgrade the solar panels at Sunspot to 58kwh.

Reasons for the decision

Damage to the roof ridge was identified which requires repair before the solar panel installation can be completed safely and effectively. The proposed roof repairs are necessary to:

• Protect the integrity of the building structure.
• Ensure the safe installation and operation of the solar photovoltaic system.
• Prevent delays to the delivery of the project.
• Support the successful completion of the Community Regeneration Partnership funded programme.

The additional cost of £4,500 can be met from the contingency provision already allocated within the Community Regeneration Partnership Ten_04 Sunspot Solar Panels project budget and therefore does not require additional funding.

To achieve this, the contractor has submitted a proposal to repair the roof setting out proposed detail to rectify the issue and avoid a recurrence, including guarantees offered.

Alternative options considered

Option 1: Do not undertake the roof repairs.

This option was rejected as it could compromise the integrity of the roof, result in delays to the solar panel installation, and potentially increase future maintenance costs.

Option 2: Procure an alternative contractor.

This option was rejected as CAMCLAD Contractors Ltd is already mobilised on site and best placed to undertake the necessary repairs efficiently and with minimal disruption to the project programme. Camclad were the original roof installer and as such are familiar with both working environment and roof build-up. They have confirmed they will honour the collateral warranty in place for the existing construction and provide updated as built information.
