Approval to Procure and Implement a New Asset Management Solution

From: Executive Board - Wednesday, 23rd April, 2025 1.00 pm - April 23, 2025

Seeking approval from Exec Board to allow spend on the procurement and implementation of a new property asset management solution based on Microsoft Dynamics to tie in with the wider transformation work which is ongoing across the Council via the CBT (Core Business Transformation) programme.   The new solution will replace the current outdated system used to manage the leased-out estate, which is approx. 25 years old and lacks desired functionality.   The proposal includes a budget of approx. £1.7 million for the procurement, implementation, and first year worth of licenses. This will be funded through additional capital receipts funding the wider transformation programme.   Further to this, as a subsequent endeavour, a Phase 2 is also being requested, with the aim of incorporating wider operational estate information into the new solution following the embedding of the solution for the leased-out estate (Phase1).
